The Ledger (web) or Transactions (app) page in Seller Hub is an itemized record of the transactions that affect your Whatnot account balance. It gives you a transaction-level view of your financial activity and works, alongside Payouts and Statements, to help you understand your finances.
Your Ledger includes:
- Earnings: Money earned from sales and other activity on Whatnot, including orders, tips, and eligible seller rewards (like the New Seller Sales Match Bonus).
- Costs: Amounts deducted from your balance, such as shipping label adjustments, refunded-order adjustments, and ads spend.
- Payouts: Funds withdrawn from your Whatnot balance.
Together, these transactions make up the account balance shown on your Payouts page.

Open your Ledger or Transactions page
The page is called Transactions in the app and Ledger on web.
Both show the same core transaction information, but the web version includes additional details and features, such as exporting ledger entries to a CSV.
Understand your Ledger transactions
Each row in your Ledger or Transactions page represents an individual transaction, also called a ledger entry.
Your Ledger on web provides the most detailed view.
Depending on the transaction, you’ll see:
- Created date: The date and time the transaction was created in Whatnot’s system.
- Amount: The net amount added to or deducted from your account balance.
- Listing ID: The unique listing identifier associated with an order-related transaction. Transactions that aren’t associated with a listing show a dash (-).
-
Order ID: The unique order identifier associated with the transaction, when applicable. Transactions that aren’t associated with an order show a dash (-).
- In your Ledger on web, you can select the Order ID to open the Orders page and view the order receipt, including the subtotals used to calculate your earnings.
- Message: A description of what happened.
-
Status: The transaction’s current status:
- Processing: The transaction has been created but hasn’t yet affected your available account balance.
- Completed: The transaction has been finalized and has affected your available account balance.
-
Transaction type: The type of activity associated with the transaction. Common types include:
- Sales: Earnings from orders after fees.
- Tip: Earnings from tips you receive.
- Adjustment: Additions or deductions such as shipping adjustments, refunded-order adjustments, or show promotion charges.
- Payout: Money withdrawn from your Whatnot balance.
- Completed date: The date and time a completed transaction affected your available account balance.
If you’re trying to understand a sudden drop or increase in balance, scan the Amount column – especially negative entries – for the relevant time window.
Filter your transactions
By default, Ledger shows all transactions in descending order by Created date, with the most recently created transactions first.
Use the filters at the top of the Ledger table to narrow your results:
- All: Shows all transactions.
- Processing: Shows transactions with a Processing status.
- Completed: Shows transactions with a Completed status.
- Withdrawals: Shows transactions representing funds withdrawn to your bank account (also known as payouts), including failed payouts that are returned back to your Whatnot balance
- Edit dates: Shows transactions created within a specific date range. You can select a range of up to 31 days. The date filter applies to the Created date, not the Completed date.
Understand Created and Completed dates
Ledger includes two timestamps that represent different points in a transaction:
- Created date tells you when the transaction was created.
- Completed date tells you when a completed transaction affected your available account balance.
Some transactions begin with a Processing status (earnings, for example), so their Completed date will remain blank until they’re completed. Other transaction types are created with a Completed status (payouts, for example) so their Created and Completed dates may be the same.
For details about when earnings move from processing to available, see When you’ll get paid for your sales.
Export Ledger data
You can export Ledger transactions as a CSV from Seller Hub web:
- Open the Ledger page on whatnot.com.
- Select Edit dates.
- Choose a date range of up to 31 days, then select Update.
- Optional: Apply additional filters, such as Processing or Withdrawals.
- Select Export data in the top-right corner.
Your CSV will download automatically. Larger exports may take longer to download.
You can open the CSV in tools such as Excel or Google Sheets to review or analyze your transaction data.
What isn’t included in Ledger
Ledger contains the net financial activity that affects your Whatnot account balance. It doesn’t include:
- Your activity as a buyer: To view your order history, go to your Activity.
- Cancelled orders: Orders cancelled by you or the buyer don’t appear in Ledger. You can still find these orders on the Orders page in Seller Hub.
- Failed payments: If a buyer's payment method fails and an order isn’t processed, the attempted purchase doesn’t appear in your Ledger.
-
Order-level fee breakdowns: Your Ledger shows the net amount affecting your balance rather than an itemized breakdown of costs and fees deducted from the sale price. To see the breakdown for an order, select its Order ID in Ledger on web to open the order receipt.
- Weekly order subtotals: Your Weekly Orders report does provide a CSV breakdown of the subtotals used to calculate your final earnings.
Reconcile Ledger with other financial tools
Different Seller Hub financial tools provide different levels of detail.
-
Payouts shows your current account balance, including your processing and available balances. Your account balance is the sum of all the transactions recorded in your Ledger.
- If your balance on the Payouts page is different from what you expect, review the individual Ledger transactions that affected it. For additional help, see Troubleshoot issues with earnings or payouts.
- Monthly and Annual Statements provide summarized views of income, fees, costs, and payouts for a monthly or annual period. You can use Ledger to reconcile statement totals with individual transactions.
When reconciling your Ledger with Statements:
- Statements are based on transactions completed during the reporting period, so use the Completed date in Ledger when comparing transactions with a Statement.
- A transaction created in one month and completed in another will be reflected in the Statement for the month in which it was completed.
- REWARD and REWARD_DEBIT transaction types represent Whatnot credit issuance and spend. These credits can only be used for purchases on Whatnot and can’t be paid out to your linked account, so exclude them when calculating your account balance.
- ADS transaction types represent Whatnot ads credit. Ads credit can only be used for Seller promotion tools and can’t be paid out to your linked account, so exclude it when calculating your account balance.
Choose the right financial tool
Use Ledger or Transactions page when you need to:
- Review individual transactions.
- Investigate specific fees, adjustments, or refunds that affected your account.
- Reconcile financial activity with other Seller Hub reports.
Use Payouts when you need to:
- Check your current account balance.
- Check the status of a payout request.
Use the Weekly Orders report when you need:
- A CSV breakdown of the subtotals used to calculate order earnings, such as commission, tax, and payment processing fees.
Use Seller Statements when you need:
- A monthly or annual summary of income, fees, costs, and payouts, including for reporting purposes.
Use Tax Documents when you need:
- Applicable annual tax documents, such as 1099s.
- Digital platform reporting, where applicable. Sellers outside the US can go to Finances > Statements & Reports > Digital Platform Reporting on Seller Hub web to access DAC-7 reporting.
Use Analytics when you need:
- Show or periodic sales performance and engagement metrics rather than individual financial transactions.
Sellers outside the United States who need to generate VAT invoices for Shoppers can use Generate VAT invoices from the Shipments page on Seller Hub web for applicable shipments. See How to Generate VAT Invoices for Your Buyers for instructions.
